Information that may be collected

When you contact 4Well at Work, information may include your name, job title, organisation, email address, telephone number if you provide it, and the details of your enquiry.

Please avoid sending confidential employee health information in an initial enquiry. If coaching or another service is arranged, any additional privacy information relevant to that service will be provided separately.

The website hosting service may also process limited technical information needed to deliver and protect the website, such as an IP address, browser type, device information, access time and security logs.

How information is used

Personal information may be used to:

  • respond to enquiries and arrange introductory conversations;
  • prepare proposals and discuss suitable services;
  • manage agreed work, contracts, invoicing and business records;
  • maintain the security and operation of the website; and
  • meet legal, regulatory and professional obligations.

Your information will not be sold. Marketing emails will only be sent where there is an appropriate lawful basis, and each message will provide a clear way to unsubscribe.

Lawful bases

Depending on the circumstances, information is processed because it is necessary to take steps at your request before entering into a contract, to perform a contract, to comply with a legal obligation, or for legitimate interests in responding to enquiries and running the business responsibly. Consent will be used where the law requires it, including for optional cookies or certain marketing communications.

Sharing information and international transfers

Information is shared only where necessary, for example with trusted providers that support email, website hosting, administration, accounting or secure data storage, or with professional advisers and authorities where legally required. Providers are expected to handle information securely and only for the agreed purpose.

Some service providers may process information outside the UK. Where this happens, appropriate safeguards required by UK data protection law will be used.

How long information is kept and how it is protected

Information is kept only for as long as needed for the purpose for which it was collected, including to respond to an enquiry, manage a working relationship, meet tax and accounting requirements, resolve disputes and comply with professional or legal obligations. Retention periods vary according to the type of record and the reason it is held.

Reasonable technical and organisational measures are used to protect personal information. No internet or email system can, however, be guaranteed to be completely secure.

Cookies and analytics

This website may use strictly necessary technologies required for security, access and basic operation. 4Well at Work does not currently use optional analytics or advertising cookies on this website.

If optional analytics, marketing or similar technologies are introduced, this policy and the website’s cookie controls will be updated. Consent will be requested before non-essential technologies are used where required by law.

Your data protection rights

Depending on the circumstances, you may have the right to ask for access to your personal information, correction of inaccurate information, deletion, restriction of processing, or transfer of information. You may also withdraw consent where processing relies on consent.

Your right to object

You may object to processing based on legitimate interests and to the use of your information for direct marketing at any time.

These rights are not absolute and may be subject to legal exceptions. To make a request, email hello@4wellatwork.com. You may be asked for information needed to confirm your identity.

Questions and complaints

Please contact hello@4wellatwork.com first if you have a question or concern about how your information is handled.

You also have the right to complain to the Information Commissioner’s Office. Visit ico.org.uk for current guidance and contact details.
